Office Manager / PA
Salary: £35k – £40k

We are working with a well-established and growing organisation based in Buckinghamshire to recruit an experienced Office Manager / PA. This is a varied, hands-on role supporting day-to-day operations while acting as PA to the Directors, ensuring the smooth running of both office and site activities.
This position would suit someone highly organised, proactive, and comfortable being the central point of coordination between Directors, internal teams, and external suppliers.
The Role
As Office Manager / PA, you will play a key role in supporting operations across multiple areas, including vehicle administration, site support, office management, and direct Director assistance. You will be trusted to manage competing priorities, keep processes running efficiently, and handle sensitive matters with professionalism and discretion.
Key Responsibilities
Vehicle Administration & Fleet Management
Maintain full familiarity with all vehicle documentation and the online fleet management system (Samsara).
Book and manage MOTs, servicing, repairs, tail lift servicing, and vehicle breakdowns.
Raise purchase orders as required.
Keep accurate and up-to-date records including MOT dates, servicing, maintenance logs, repairs, and notes.
Ensure all vehicle documentation is correctly saved on the shared drive.
Add new and hire vehicles to the insurance system.
Arrange hire vehicles when required.
Carry out weekly vehicle condition checks and report new damage to the Directors.
Ensure vehicles are returned clean, fuelled, and in good condition.
Monitor and ensure daily vehicle checks.
Site & Operations Support
Arrange skip exchanges, waste collections, and septic tank servicing.
Raise purchase orders as required.
Request weekly craft orders and notify the team upon delivery.
Provide wider operational support including placing orders, sourcing health and safety supplies, and booking services such as PAT testing and fire extinguisher servicing.
Office Administration
Order weekly office and site supplies, including water.
Ensure stationery is well stocked and organised.
Organise birthdays, including lunches, cards, cakes, and decorations.
Plan and coordinate staff social events, including seasonal parties.
Maintain a clean, tidy, and organised office environment.
Provide general administrative and ad-hoc support to senior team members.
Director Support
Manage visitor bookings and access.
Provide diary management support.
Support social media activity as required.
Organise director lunches and refreshments.
Process and manage expenses.
Minute meetings and follow up on agreed actions.
Skills & Experience
Highly organised with excellent attention to detail.
Proactive, reliable, and confident in communication.
Comfortable liaising with external suppliers and stakeholders.
Able to manage multiple priorities in a fast-paced environment.
Flexible, adaptable, and a strong team player.
Previous experience in an Office Manager / PA or similar operational support role is highly desirable.
